How Many Rental Units Before You Actually Need Software?

Here's a question worth answering honestly, even though it works against the obvious interest of a company selling property management software: do you actually need it yet?

1 to 3 Units: You Probably Don't Need It Yet

If you own a couple of units, especially ones you manage personally and live near, software is usually solving a problem you don't actually have. You know your tenants by name. You know when rent is due because you check your M-Pesa yourself. A notebook, a simple spreadsheet, or even just your memory and bank statement is often genuinely sufficient.

The signal that this is changing isn't unit count, it's friction: you start forgetting who paid, or a tenant disputes a payment and you can't quickly prove either way, or you're spending real time each month just trying to remember where things stand.

4 to 8 Units: The Judgment Call Zone

This is genuinely ambiguous territory. Some landlords run 8 units off a well-organized spreadsheet without much trouble, particularly if the tenants are stable and rent collection is straightforward. Others find that even 5 units, especially spread across more than one location, start generating enough small admin tasks (maintenance follow-ups, lease renewal dates, deposit tracking) that things start slipping.

Ask yourself honestly: have you ever missed a lease renewal date? Have you had a payment dispute you couldn't resolve cleanly? Are you the only person who knows the full picture of your portfolio, and would that be a problem if you were unreachable for a week? If any of those land uncomfortably close to home, that's a stronger signal than the unit count itself.

9 to 15 Units: Most Landlords Start Feeling It Here

Somewhere in this range, most landlords we talk to describe a specific moment: an exhausting end of month spent cross-checking M-Pesa statements against who should have paid, or a caretaker who can't say with confidence which maintenance requests are actually outstanding. At this scale, the time cost of manual tracking starts to rival or exceed the cost of a basic software subscription.

This is also usually around where landlords hire their first caretaker or part-time manager, which introduces a new problem software solves well: giving staff limited, accountable access instead of your personal phone and M-Pesa PIN.

16+ Units: It's Rarely Optional at This Point

Past this range, the honest answer is that manual tracking becomes a genuine liability rather than just an inconvenience. The number of monthly transactions, maintenance requests, and lease dates to track exceeds what most people can reliably hold in a spreadsheet without errors creeping in, and errors at this scale mean real money: missed rent, disputed payments, deposits that don't reconcile.
